Guide to using Laptops in College Meeting and Teaching Rooms

Conference Laptops Discontinued

Previously when you booked a meeting or teaching room in College you would often notice that a "conference laptop" was provided for your use. We have stopped providing these now as:

  • There were significant security issues with the devices as frequently confidential files were left on them and they would be found logged into personal accounts.
  • Members of college either have devices provided or generally have their own devices
  • Presenting using shared devices led to a number of issues such as the fonts used in a PowerPoint presentation not being available or documents not opening correctly due to software versions

Loan University Managed Devices

When you book a room if you don't have a suitable device that can be used then you can request that we provide a loan university managed device.

Please note that:

  • You need to login to the device using your University account (CRSid)
  • When you first open an office application such as PowerPoint you need to login to verify your licence using your CRSid and password
  • College fonts are not available on the device
  • You may log the device in for someone else to use (for example a speaker) provided that you are still present. 

If you have a suitable device, for example a university or college provided laptop or your own laptop you should use that in preference to borrowing a laptop.

External Speakers

If you have invited an external speaker then they should be encouraged to bring their own device to present or you could allow them to use yours if you will be present. The device just needs to have a HDMI connector (or a USB-C that can be connected  using a dongle to HDMI - we can provide a dongle if you don't have one).

External speakers can connect their devices to the University Guest Wi-Fi network UniOfCam-Guest

Where a third party AV company is providing support we recommend asking them to provide devices if you don't have your own.

USB Sticks

We do not recommend the use of USB sticks to manage presentations as they are insecure and frequently lead to problems. In the future it is likely that USB sticks will be disabled on university managed devices for security reasons. We recommend loading the presentation on the device you intend to use to present on and checking it is saved on the device well in advance.

General Advice

It's always a good idea to turn up early to check everything works as expected so any issues can be dealt with without the pressure of a presentation or event starting.
