Multi-factor authentication (MFA, sometimes referred to as two-factor authentication or 2FA) adds an extra layer of security when you log in to your accounts by asking you for a second form of identification. This is normally done after you enter your password, you'll be asked to enter a verification code generated by an authenticator app or send to your phone by SMS.
The University requires all users to have MFA enabled on their accounts. You'll be asked to set up MFA during your first login to a service that supports it. Once set up, you'll occasionally need to confirm your identity when accessing your account or when accessing your account on a new device.
Set up your MFA
Log in to m365.cloud.microsoft, click Sign In and then login with your University account details. Once you successfully login, you should receive the prompt below:
Click Next to begin the process of setting up the authentication.
There are multiple methods you can use to receive codes and verify your identity. To ensure you don't lose access to your account, the University recommends you set up at least 2 authentication methods. You can use the following methods:
- Authenticator app - Recommended option, mobile signal coverage is poor in parts of the college and this can make use of Wi-Fi
- Text message (SMS) – This does not have to be a smart phone
- Phone call - Can be a mobile or landline
Managing your authentication methods
Once set up, you can view your authentication methods in My Sign-ins in your Microsoft account. You are also able to change your MFA methods, such as adding a new phone.
If you get a new phone and have your authentication methods attached to your old phone, it's recommended to setup MFA on your new phone before disposing of the old phone. Otherwise, you can use SMS/phone call to get back into your account.
Locked out of your account?
If you are completely locked out of your University account due to MFA, you'll need to contact University Information Services (UIS) who will be able to help you get back in to your account.
They have a support site, which has a live chat available 24/7. Please use this service to regain access to your account.
